Frequently Asked Questions

Q: Does our business have to be a certain size?
A: No.  We enjoy helping small, local businesses and self-employed individuals. No job is too small. We can even perform work for you on a temporary or hourly basis. We welcome all businesses, big and small, new and established.

Q: Does our business have to be in the Brunswick/Topsham area?

A: No. As a matter of fact, some of our clients never see us face to face. With today's technology, it is possible to do our work via the internet, phone, fax and mail. Our firm can be of assistance to businesses all over the State of Maine, and even out of state, so don't allow distance to keep you from using the highest quality services available.

Q: Can you submit electronic health insurance claims for me?

A: Yes. We submit health insurance claims for providers who are in private practice. We can even submit your Medicare and MaineCare claims online. Electronic claims are received and processed faster, which means you are paid faster! In addition, if you'd like, we can bill your patients for their co-pays, obtain authorizations for you, make appointment reminder calls, and more! We are HIPAA compliant, and we specialize in Behavioral Health. Click here to read more or call for information.

Q: Will I need to purchase any software to use your services?
A:
No. Leclerc Group has purchased all the hardware and software needed to perform the services we offer. You are not required to purchase any special hardware or software to take advantage of our services. Let us handle all of your billing, bookkeeping, and payroll needs!

Q: Why should I outsource my bookkeeping, payroll or billing to you?
A:
If you consider such factors as staffing, hardware and software maintenance, lack of time for paperwork, year-end reconciliation, and postage costs, you will see how outsourcing can benefit your business. Click here to read  more about outsourcing and how it will save you time and money.

Q: Are there any set-up charges?

A: Generally, set-up fees do not apply. However, a more in-depth assessment of your specific needs will be done in order to determine exact costs. There are no set-up fees for payroll services.

Q: If I want to do my own payroll, can you help me with tax deposits, tax forms, and W-2's?

A: Absolutely! If you prefer to calculate and write out your own paychecks, we can help you with the rest. We can make your tax deposits for you, file your forms 940, 941, and 941/C1-ME, and process your W-2's. We can even help you with things like Worker's Compensation and 1099's. Give us a call to find out how we can make your life a little easier.

Q: How often should we submit information to you?
A:
Information can be sent to us as often as you like, but we normally recommend  a weekly submission for billing and payroll services. This may change depending upon the type and size of your business and the exact  services you have requested.

Q: How will we submit the information to you?
A:
That’s up to you! Information can be sent to us via regular mail, email, fax, or telephone. You can also drop off information at our office in Fort Andross, or we can arrange for pick-up and delivery to your home or office. Please use whichever method of delivery is most convenient for you.

Q: If you bill my customers for me, where do they send their payments?

A: You have several options. All remittances/payments can be sent directly to you, and you will notify our office of payments you receive so we can record them. Or, payments can come to us and we can open and deposit them directly into your account for you, or we can receive them and deliver them to you all at once. The choice is yours.

Q: If you bill my customers for me, who do they call when they have questions about their bill?

A: Customers can be given a number to call us directly with their billing concerns. This frees you and your staff from a time consuming responsibility. We can also handle certain types of collections management at your request.

Q: How long will it take to set up my account?
A:
Many factors are involved in determining an exact timeframe. Any information we need to set up your account should be submitted to our office as soon as possible. The enrollment and setup process will begin at that point. Generally speaking, account preparation and setup usually takes about two weeks, but that will depend on the size of your business and the exact services you have requested from us. We will act as quickly as possible to get your account fully functional within the estimated time frame.

Q: I've been hearing a lot about paperless payroll. What is that?

A: Paperless payroll means eliminating paperwork in every possible phase of the payroll process. This in turn allows you to reduce costs and deliver faster, more convenient employee service. Paperless payroll, also called electronic payroll, is the way of the future. If you would like to read more about the endless benefits of going paperless, please click here.

Q: Do you offer ACH or EFT services?

A: Yes. Leclerc Group offers ACH file creation and transmission services. We can collect recurring, electronic payments from your customers with no monthly minimums and no batch fees or other hidden fees. Call today to find out how ACH services can work for your business.

Q: What is the difference between an Employee and an Independent Contractor?

A: There are several factors that need to be considered when trying to determine if a person who performs work for you is your employee or just an independent contractor. If you have to ask the question, chances are good that the person is your employee. Follow this link for more information about Independent Contractors in the state of Maine.
